User-friendly features and seemingly seamless functionality can make SuccessFactors feel like a walk in the park, and in some ways it is. This can, however, result in some HR professional underestimating the set-up requirements of this world class HRMS. Fortunately, SAP have special partners just like us to help everyone get started with SuccessFactors. Lots of partners like to go into their agile staggered processes or gated flow chart methodologies, but we like to keep it simple. While we always take an efficiency agile approach to give you a fast yet thorough set-up, we like to keep the basis of our SuccessFactors implementation methodology easy to understand.
This is where we get to know you and your business so we can start to define the scope of the work in line with your business objectives. To do this it’s always helpful to have a few things defined on the clients end. We always recommend sitting down with all your stakeholders to help come up with a list of must-have criteria and uses that will help you achieve what you want from your ideal HR set-up. This should include your employees and HR team members who will likely have the most everyday interactions with your SuccessFactors solution. Think about all the things you do now that you want to continue doing as well as the dream use cases you want to achieve in the future.
We don’t expect you to know exactly what functionality and features you want or need to meet this criteria, that’s our job to figure out, but be as detailed and honest as possible about what it is you need. All of this will help us define exactly what you need from your solution so we can plan the implementation process, from budget to timescales, accordingly.
Our detailed execution plan starts with defining the process and functionality you need in line with industry best practices. Using industry benchmarks we then delve deeper into what makes your business unique, from the way you work with your employees and your customers to the data you currently have and collect. This helps us gauge your technical requirements so we can then define and customise our best practice industry-leading set-up to suit your current and future business needs.
Everything starts to come together in the configuration stage as your dedicated implementation team configures the SuccessFactors system settings and sets up custom data fields accordingly. While you can change these yourselves at a later date to suit your growing business, this is where it really pays to have an expert team at your service. We take out all the guesswork and can get SuccessFactors completely customised to your business in record time.
This is where we also start to load test data and assist with testing. We believe in testing at every step of the process and start as early as possible to catch problems quickly and keep the project on track.
When we’re finished with the initial configuration we hand your almost-finished solution over for thorough examination and testing on your end. This is a chance to break your solution now so you can avoid any nasty surprises later. Your HR team will have the most experience of current HR initiatives and would hopefully have had the most input when you defined your future requirements, so have them come up with some common use cases and put the solution through its paces.
If you spot any areas where you feel the solution isn’t fully achieving your requirements or you realise that perhaps something you thought you needed no longer works for your business, just let us know. We’ll regroup, readdress and redefine your solution before configuring again. With a few tweaks, you should be able to sign off on your perfect set-up.
The deployment stage should be used to present your solution to stakeholders and carry out final training. While we’ll be able to help you and your team with training from fairly early on, this is the chance to make sure any admin are completely trained and confident with using the new system and any end-users are provided with relevant training to encourage adoption post-launch.
If you’re unsure how best to communicate key system details to end users and train employees or other stakeholders on using SuccessFactors, we can also help with this. Coming up with a launch plan and encouraging engagement across the entire business is vital to getting the most out of your solution so we’re always keen to make sure our clients have a good strategy at this stage. Only then would we say you’re finally ready to go live and launch your new solution.
Job done? Not quite. We prefer the term implementation partner rather than vendor for a good reason. Partners don’t just walk away at the first opportunity and neither do we. While the implementation is key to ensuring you have the best chance of getting the most out of your solution, there’s still plenty to do post-launch to make sure it stays that way.
As a standard we provide up to 2 weeks post go-live support where we’re only a phone call or an email away to help with any teething problems. After that, we also offer an on-demand support service so you can carry on getting the most out of your solution and still have time to do your day job.
